Gifts Policy

The University Library welcomes all gifts, whether they are financial contributions, or donated materials such as books, journals, audiovisual materials, scholarly papers, microforms, computer media, cartographic materials, and so forth. The University Library usually accepts donated items if they are of scholarly value. However, items may be rejected on the basis of poor physical condition, outdated content, inappropriate academic level or subject focus, or similar grounds.

To prevent misunderstandings, donors of money or materials are asked to sign a formal Deed of Agreement which for materials will contain the date the materials are received by the Library, the signatures of the donor and the receiving Library staff member, and an indication of the donor's wishes concerning anonymity and a receipt for income tax purposes. Such donations are normally acknowledged, unless the donor specifically requests anonymity. Gifts in the form of financial contributions will be coordinated with the Office of Alumni Affairs and Development. The gift may be refused if its purpose is not consistent with the aims of the University Library. With respect to donations of money designated for the collection, the University Library reserves the right to use its discretion in purchasing materials with the funds provided.

The University Library reserves the right to determine which of the donated items to add to its collections, and to dispose of those items which it decides not to keep, by sale, donation to another institution, or other means. The University Library reserves the right to determine the location and degree of access to donated items which are added to the collection. Except in cases where the donated collection is of considerable scholarly value, the University Library will not maintain a public access list of donated items. However, donated items may be marked with a bookplate upon request.
